We comply with the Data Protection Act 1998 and the European General Data Protection Regulations 2018.
How will my information be used?
We will obtain basic information upon you starting therapy such as contact information and identification. We will make written and/or electronic notes during your therapy sessions. This does include your personal information and what is discussed in therapy. This information will be used solely for the purpose of delivering therapy to you.
Electronic notes will be stored on a password protected computer. If you email info@ptwc.co.uk this is a password protected email account where only PTWC therapists have access to emails. Any emails not for a particular therapist will be flagged for the correct therapist and will only be used and read by the therapist you are working with. We will not share any information about you with third parties without your consent with the exception of that detailed in the Confidentiality Policy where information may need to be shared for safety and risk management purposes.
Your rights
You have the right to request to view your information in order to verify accuracy and ask for additions and amendments where appropriate. If you would like a copy of some or all of your personal information, please email us at info@ptwc.co.uk. Information will be provided to you within 30 days if this is appropriate. You may ask us to correct or remove information you think is inaccurate. You have a right to request the transfer of your data to another individual or company.
Retention of data
At the end of therapy, hard copies of documentation will be scanned on to and saved on a password protected computer which PTWC only have access to at the end of therapy. Hard copies will then be securely destroyed (shredded). We will hold your details and session notes electronically for a period of 7 years following the end of treatment to comply with legal obligations set by our insurers. After this date, all data will be securely deleted.
Data sharing
There may be times where your information needs to be shared with third parties as per our Confidentiality Policy. We will explicitly ask your consent before doing so, and the data will be sent to third parties securely. If you would like us to share information about your treatment with outside organisations that are directly involved in your care, for instance, your GP, you may request this. If we feel that you are putting yourself or others (including children) at risk then we may have to break confidentiality and inform the relevant parties such as statutory bodies e.g. Social Services, Police. If possible we will discuss this with you before sharing the information.
Data security
Information will be kept securely and confidentially in line with the data retention policy as stated above.
Legal information
We comply with the above by law in order to ensure the delivery of a contract to you as a health care professional. As accredited members of The Health and Care Professions Council, PTWC therapists operate under a strict code of confidentiality and are legally obliged to lawfully process your data in line with this privacy policy.
Complaints procedure
We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures. If you do have a complaint, contact us and we will investigate the matter on your behalf.
